The Azure EngOps Team is seeking an Executive Business Administrator to support a CVP, Partner, and small team, as well as provide leadership to the admin team.

The ideal candidate for this role can navigate and change directions quickly within a fast-paced environment, possesses stellar interpersonal skills, and demonstrates good judgment and executive presence. Being detail oriented and having consistent and timely follow-through will be essential to success. The ideal candidate will become a close business partner with the Executives they support and the business management team. The role is based in Redmond, WA and requires 3 or more days per week in the office.



Responsibilities

Leadership and Executive Support:
Plays a visible and important leadership role with customers, partners, team admins, as well as contacts at all levels of Microsoft. Leads by example and serves as a role model to other admins in the group by maintaining a professional attitude, demonstrating executive presence, and influencing others. Provides leadership to the admin team. Works in close partnership with the Leadership Team (LT) and Extended Leadership Team (XLT). Provides travel support and manages logistics for CVP and Partner travel.

Cross-Functional Collaboration and Communication:
Works closely with business operation team for budget reporting, headcount, and ad-hoc items. Develops and maintains solid relationships with partner teams across multiple organizations (e.g., business-support professionals, Human Resources, CELA, etc.).

Calendar Management:
Provides strategic calendar management and time planning support for manager(s). Manages and owns calendar, meeting preparation, and logistics based on knowledge of manager and business needs. Uses executive maturity and judgment with full knowledge of business context to identify and coordinate delegates, execute decisions around prioritization, and maintain constant communication with manager and central staff. Exercises a sense of priority and awareness for high impact meetings and urgent business needs, and ensures follow-up.

Team Management Support:
Collaborates with Global Talent Acquisition (GTA) to facilitate internal and external recruitment efforts, and partners with hiring managers to ensure a smooth process. Lands and manages headcount activities in collaboration with Business Manager(s) and/or Chief of Staff, including transfers/departures, onboarding, offboarding, and transactions within headcount management tools. Identifies areas of improvements and updates for relevant headcount management systems. Works in partnership with Business Manager(s) and team members to provide up-to-date headcount numbers. Contributes to our organization's workplace culture by participating, promoting, and contributing to team, organization, and division events/activities. Provides team support by managing distribution groups, organizational charts, Microsoft Teams channels, SharePoint sites, and contributing to new hire onboarding and employee departure experiences. Responsible for headcount/PCN management, space allocations, collection of Microsoft assets and timely updating of Employee Central data. Manages space for team.



Qualifications

Required Qualifications:

5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Other Requirements:

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to, the following specialized security screenings: Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Preferred Qualifications:
• 7+ years of experience in an administrative support role or equivalent.
• Effective written and verbal communications skills.
• Maintain the confidentiality of highly sensitive material with tact and professionalism.
• Desire to take on big challenges and possess the ability to see the big picture as well as the details.
• Ability to react with appropriate urgency to situations and requests.
• Attention to detail with effective problem-solving and troubleshooting skills.
• Well-developed cross-team collaboration and organizational skills.
• Consistently demonstrate a can-do and customer service attitude.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.
