Qualifications
- 5+ years Administrative, Business Support, and/or customer service experience
- Excellent written and verbal communication skills
- Planning and execution skills – for driving various events and offsites
- Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organisation
- Ability to work effectively under pressure, calmly and confidently with a can-do attitude
- High level of integrity and ability to manage sensitive and confidential information with discretion and professionalism
- Proficiency in Outlook, Word, Excel, Visio and PowerPoint
- Solid Project Management skills

Responsibilities
Calendar & Meeting Management
- Provide end-to-end calendar and time management support for leaders to ensuring alignment with business priorities and personal working styles
- Coordinate meeting logistics, including booking rooms, managing conference technology, and troubleshooting audio-visual (AV) issues
Cross-Functional Collaboration & Communication
- Build strong working relationships with internal and external stakeholders, including HR, Finance, event planners, and peers
- Partner with teams across the organization to ensure seamless execution of leader and team objectives
Growth & Development
- Actively participate in the Business Support community to share knowledge, best practices, and process improvements
- Support onboarding and training of new administrative staff and mentor junior colleagues as needed, Contribute to a positive, inclusive, and collaborative team culture
Event Planning & Coordination
- Assist in planning, organizing, and executing internal and external events, including logistics, scheduling, and communications
- Act as a point of contact during events, addressing any changes or challenges that arise
Project & Process Ownership
- Manage and deliver assigned projects and tasks with accountability and minimal supervision
- Proactively flag risks or challenges to relevant stakeholders and ensure timely resolution
Expense Management
- Support budgeting, expense reporting, and procurement processes in compliance with company policies
- Track and manage inventory, hardware, and office supplies to ensure smooth day-to-day operations
Rhythm of Business (ROB)
- Understand the team’s business cadence and key deliverables, helping to organize and execute recurring business activities and reviews
- Identify patterns and opportunities to improve operational rhythm and efficiency
Space Management & Planning (location-dependent)
- Maintain up-to-date information on workspace assignments, office layouts, and seating plans
- Partner with space planners and cross-functional teams to support large-scale moves or workspace changes
- Leverage space utilization data to recommend adjustments and future planning improvements
Team Management Support (Hiring & Onboarding)
- Collaborate with hiring managers and the Global Talent Acquisition (GTA) team to support recruitment and onboarding activities
- Coordinate new hire logistics such as equipment setup, access permissions, and team introductions
- Maintain accurate headcount records and assist with offboarding, transfers, and reporting
Travel Coordination
- Arrange domestic and international travel for leaders and teams, including accommodations, transport, and itineraries.
