Overview

Microsoft Monetization Ads, MSN and Shopping team is seeking for a motivated and proactive Business Administrator to provide exceptional administrative support and customer services to our teams over 100 engineers, along with 2 calendar management for Partner Engineering managers and VP.


The ideal and successful candidate for this role needs to navigate a fast-paced environment, be agile and embrace changes, be able to multi-task, have excellent interpersonal skills, take initiative, demonstrate good judgment, and must maintain a high level of confidentiality. They must be highly competent at setting priorities while executing multiple tasks simultaneously. A successful candidate must build trust through consistent and timely follow-up, with excellent clarity in communication.

Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
  • 2+ years of experience providing administrative support to a senior executive.
  • 2+ years of experience with executive calendar management
Other Requirements:
Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings:

Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Preferred Qualifications:

  • Proficiency with Microsoft Core Office products or related software, including, but not limited to, Word, Excel, Outlook, PowerPoint, OneNote, and OneDrive
  • Experience in successfully partnering with other Executive Assistants.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.

Responsibilities

  • Calendar: Proactively manage the calendar of busy Partner and VP level engineers - making decisions on their behalf based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time.
  • Team Support: Provide team support for over 100 FTEs, including headcount management, budget, morale events, distribution group management, onboarding/offboarding and other tasks/projects.
  • Space: Manage space coordination, new employee setup, and procurement of goods and services including computer equipment, office supplies, reference materials and facility requests.
  • Communication: Build and maintain good business relationships with executive level and counterpart administrative staff, both internally and externally accommodating differing working styles and perspectives of diverse individuals and groups. Must be assertive and have a high level of integrity and consistently demonstrate a positive can-do attitude with the ability to maintain the confidentiality of sensitive material with tact and professionalism.
  • Admin Team Building/Support: Work as part of a solid admin team to manage the needs of the overall organization.
