Do you have determination, flexibility, and initiative along with a keen attention to detail and focus? The Global Small Medium Business (GSMB) team is looking for a dynamic, thoughtful, energetic Executive Business Administrator to join the team and provide support for a General Manager (GM).
The Global Small Medium Enterprises segment represents 80%+ of the global workforce and 40%+ of Global Gross Domestic Product (GDP). Our diverse digital sales team empowers Small Medium Businesses with market leading Microsoft cloud solutions to achieve customer success and measurable impact.

The Executive Business Administrator will report to the General Manager of our Vendor Digital Sales (VDS) business. You will work in close partnership with other VDS team members, a cohort of Global Small Medium Business Executive Administrators, and other key stakeholders across Microsoft.
We seek candidates with organizational, interpersonal and communication skills along with the ability to work independently and professionally at the Microsoft executive level. The ability to work successfully under pressure within short time constraints in a fast-paced team environment, build and maintain effective working relationships, accommodate diverse working styles in addition to attention to detail, problem-solving skills, and the ability to maintain strict confidentiality are essential to success in this role. Qualifications
Required Qualifications
- 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
- 3+ years experience managing complex calendars, including scheduling meetings, coordinating events, and resolving conflicts across multiple time zones and stakeholders
Preferred Qualifications
- Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
- 2+ years experience serving as mentor to others.
- 3+ years' experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
- 1+ year of experience managing sensitive and/or confidential information with discretion, professionalism and integrity.
- 1+ year of experience in collaborating with cross-functional teams, including Executives, Executive Business Administrators, and key business partners.
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.

Responsibilities
- Provide calendar management across multiple time zones and serve as a gatekeeper for your manager’s schedule by anticipating conflicts, prioritizing engagements, and ensuring efficient time management.
- Arrange travel plans for your manager, including preparing comprehensive itineraries, overseeing all logistical aspects while ensuring all required international travel documentation is obtained.
- You’ll showcase leadership by demonstrating executive presence, fostering standards and team success.
- Execute business cadence by coordinating scheduling and managing meeting logistics according to the team’s Rhythm Of Business.
- Cultivate solid relationships with stakeholders across multiple organizations to support the leader’s and team’s objectives.
- Coordinate logistics and provide onboarding support for new employees and vendors, acting as the primary point of contact.
- Owns the coordination, logistics, and direction for events. Proactively drives actions needed to ensure event outcomes.
- Maintains and manages up-to-date space-management processes and team space.
- Support budgeting, procurement, and invoice processing to assist with financial tracking and compliance.
- Serve as the first point of contact for internal and external stakeholders, responding to inquiries and facilitating communication.
- Leads by example and serves as a role model to Business Support colleagues by maintaining a professional attitude, demonstrating executive presence, influencing others, and encouraging self-reflection during complex situations.
