We are looking for an Executive Business Admin, that is a motivated team player and leader with a can-do attitude. Superior attention to detail, the ability to meet tight deadlines, great organizational skills, effective communication skills, and the ability to juggle multiple requests with little to no guidance. The ideal candidate will be an excel wizard (pivot tables are your middle name), PowerPoint master, and fantastic at keeping your leader’s calendar and tasks in priority and on-time. They are initiative-taking, a collaborator, and have communication, organizational and people skills.

They will also be able to work effectively under pressure, prioritize while multi-tasking, deal with ambiguity and have an aptitude to work independently without significant oversight or instruction to achieve results with a high degree of accuracy and attention to detail. They will perform a variety of complex administrative functions all while keeping a good balance of supporting the Partner Director, their teams, and nationwide sites.

Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
  • Experience utilizing internal administrative tools (Cytric, Employee Central, Copilot, Xcarrier, iCIMS, Power BI, IDWeb, MyOrder)
  • Experience with Microsoft productivity software including Outlook, Excel, PowerPoint, Planner, SharePoint, OneNote, Teams, etc.
  • 2+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training), and PCN, Attrit and NTE tracking

Other Requirements:

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings:

Microsoft Cloud Background Check:This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Preferred Qualifications:

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 2+ years experience serving as mentor to others.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
  • Experience managing sensitive and/or confidential information with discretion, professionalism and integrity.
  • Experience in collaborating with cross-functional teams, including Executives, Executive Business Administrators, and key business partners.
  • Prior Microsoft experience preferred.
  • Ability to come into office 3 days a week or more.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.

Responsibilities

  • Based on a deep knowledge of business and executive needs, you will provide highly strategic calendar management across multiple time zones, track tasks using Planner or To Do apps, and serve as a gatekeeper for your executive’s schedule by anticipating conflicts, prioritizing engagements, and ensuring efficient time management.
  • In collaboration with the executive leader, this role oversees the annual Rhythm of Business (ROB) for the engineering org, the LT, and coordinates with partner teams to avoid conflicts.
  • Arrange travel plans for your manager, including preparing comprehensive itineraries, overseeing all logistical aspects and documentation, and utilizing tools such as the US Travel Tax Tool as required.
  • Oversee procurement of goods and services, including test devices, equipment and peripherals, while staying within the allotted budget.
  • Support headcount transactions including NTE accuracy, requisition management, PCN updates, and attrition tracking. In addition, you will own end-to-end onboarding for new hires and coordinate team space planning and moves.
  • You’ll showcase leadership by demonstrating executive presence, fostering high standards and team success.
  • You will provide strategic oversight and manage nationwide events, including deck building, room reservation, catering, onsite support, etc. You’ll also own expense management, partnering with finance for accurate tracking and reporting.
  • This is an onsite position and requires being onsite 3 days per week.
