We are looking for an experienced Executive Business Administrator to provide administrative support to the General Manager (GM), their direct reports and support to the global team (approximately 190 people). This is a great opportunity for a highly skilled and motivated individual to provide a variety of complex organizational, project, and administrative services. This position has frequent contact with all levels of Microsoft employees. You will be a vital member of the team, partnering with members and leaders while demonstrating Microsoft culture and values.
As an Executive Business Administrator, you will be helping with all levels of support including team communications, strategic calendar management, and complex end-to-end headcount/budget management. You will identify support gaps and develop/implement solutions to help contribute to the leader’s and team’s overall success. In addition, you will need to collaborate closely with business partners and team leaders to support the rhythm of business (ROB), space planning, and headcount planning and maintenance. To best support the team and leader, the right candidate will have the ability to work in a hybrid-model environment. This will require a split between onsite/remote work time.
This role is flexible in that you can work up to 50% from home.

Qualifications
Required/minimum qualifications
- 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
- 3+ years of experience with Microsoft Outlook AND Proficient in Microsoft Office Suite of applications (Excel, Word, PowerPoint, OneNote, SharePoint, Teams).
- Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
- 2+ years experience serving as mentor to others.
- 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training) AND Manage tracking Required Training and organizational Service Awards and Recognition Awards.
- Demonstrated C-Suite experiences working with executive offices (internal and external).
- Experienced working with or supporting global teams across different international timezones AND Shared services experience supporting multiple leaders and ROB calendars.
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.

Responsibilities
- Manage and maintain GM’s complex calendar daily to ensure accurate scheduling and organization.
- Make decisions on behalf of the GM to ensure meeting requests meet with management priorities and performance objectives.
- Manage GM’s travel end-to-end including the proactive anticipation of logistics and itineraries.
- Partner with the GM & Business Manager to deliver Rhythm of the Business processes, including financial and HR rhythms, leadership meetings, Offsites, Town Halls, etc.
- Partner with Business Manager in Virtual-Teams as needed (Townhalls, offsite events, morale events, etc.).
- Manage Team rhythm of business (ROB) calendar.
- Manage team award program including all communications, processes and procedures.
- Process expense reports in a timely manner and maintain compliance with Microsoft policies and procedures.
- Manage, plan and develop team morale events while staying within the allocated budget.
- Manage space coordination, new employee setup and other administrative processes.
- Procurement of goods and services including computer equipment, offices supplies, reference materials, and facilities requests.
- Management of systems, tools, and processes including managing team distribution lists, required trainings.
- Provide general project support as needed including ad-hoc reporting.
- Communicating and driving all administrative tasks across a remote based team.
- Lead and coach a vendor admin.
- Engage with and actively promote the Microsoft culture by generating a thriving work environment of collaboration, teamwork and communication.
