Overview

We are seeking an experienced and self-starter Executive Business Administrator to join the leadership team and provide direct support to the Corporate Vice President (CVP) and support success of M365 Copilot, Agents & Platform Ecosystem team (CAPE).

CAPE’s mission is to work with Fortune 500 customers and the world’s most influential ISV partners to transform their business using AI. We design and build innovative AI agents on the M365 Copilot platform, including agent templates for makers as well as more custom solutions with key customers and ISVs. You will be part of this exciting journey.


In this role, you will collaborate closely with the CVP, CoS and leadership team, anticipate and remove administrative roadblocks, make timely decisions across the organization, and adapt to constantly changing environment, while identifying areas to help support the business. You should be able to multi-task, demonstrate trusted attention to detail, be highly responsive, meet deadlines, and be comfortable working independently. The ability to work under pressure in a fast-paced environment and be able to move forward without having every detail locked down is essential to success.

This role is required to be on-site at the Microsoft Redmond campus a minimum of 50% of the work week.

Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration
    • OR equivalent experience.
  • 4 years experience directly supporting executives / upper-level management such as Directors, CVPs, VPs, etc.
  • 5 years experience with project or office management including budget management, calendaring, and understanding of the business to help the decision-making process.
  • 5 years experience with Microsoft products including Outlook, PowerPoint, Word, Excel, and Window.

Other Requirements:
Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings

  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Preferred Qualifications:

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology).
  • 2+ years experience serving as mentor to others.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
    • OR equivalent experience.
  • Adaptable in a team environment, building and maintaining effective working relationships with a diverse group of contributors internally and externally.
  • Able to work confidentially with highly sensitive material and information with discretion.
  • Able to learn new internal systems and become comfortable with new technologies.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.

Responsibilities

  • CVP Strategic Calendar and Time Management:
    • Provide comprehensive time and calendar planning support with attention to detail, accuracy, and timeliness, and in highly confidential and/or ambiguous situations.
    • Collaborate closely with the Chief of Staff to synchronize leadership rhythms, including planning and execution of All Hands meetings, AMAs, Roundtables, and coordination of customer and partner engagements to ensure seamless alignment of commitments.
    • Build and maintain strong working relationships with the CVP’s leadership team and other key stakeholders to support effective strategic time management.
    • Manage domestic and international travel and end-to-end complex trip scheduling, including the proactive anticipation of logistical requirements and creating comprehensive itineraries.
  • Event Coordination and Logistics:
    • Internal and external customer meetings and events, including Executive Briefings, conferences, and speaking engagements. Ensure executive preparedness for both external and internal engagements. Proactively manage end-to-end logistics for the CVP and their organization’s team meetings and offsites, including meeting settings (booking space, AV, catering, etc.), attendee participation, resolving setbacks, and coordinating across stakeholders.
  • Business Processes and Project Ownership:
    • Understand and support the annual and continual rhythm of business (ROB) process, owns execution of meeting cadences around the ROB on behalf of the leader, in partnership with the Chief of Staff. Owns distribution channel maintenance activities (maintain memberships for distribution groups, security groups, M365 groups, GMM).
  • Team and Resource Management:
    • Facilitate team experience activities, proactively execute end to end personnel management including onboarding, offboarding, and headcount management activities such as PCN maintenance, and organizational reporting. Hardware management, tracking, issue resolution.
  • Space Management and Planning:
    • Maintain and manage team spaces and space processes, ensures accuracy of space data, ensures allocated space (work points, team meeting rooms, storage) are set up and function well for the team, facilities requests, coordinates large-scale office moves or other space requests, works in collaboration with other key stakeholders to plan and implement, makes data-driven space use recommendations.
  • Budget Management:
    • Process expense reports on behalf of the CVP and interim approve their Directs’ expense reports, in a timely manner, while ensuring compliance with policies, resolve any expense related issues. Create Purchase Orders, participate in discretionary budget tracking in partnership with the Chief of Staff, and may contribute to complex budget planning and management.
  • Business Support Community:
    • Demonstrate leadership within the discipline, collaborate with the DPG EA and participate in business support communities across the organizations.
