Executive Administrative Assistant (Contract)

Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.

Summary

This position offers executive-level interfaces at Microsoft as well as frequent external contact with all levels of academic colleagues, government officials and industry executives.

Job Responsibilities

  • Representing the executive professionally; effectively communicating on her behalf with others including those within the company and those in the external community
  • Managing a complex calendar with attention to accuracy, timeliness and ensuring the schedule aligns with executive's priorities and commitments. Must have ability to analyze and respond appropriately to emerging priorities to ensure that the executive is engaged only in essential meetings and events.
  • Planning and coordinating domestic and international travel plans end-to-end including the proactive anticipation of any and all logistics and itineraries. Meet travel requirements of the executive including on-the-ground door-to-door logistics.
  • Planning and executing executive visits, meetings, events, morale activities and other partnerships both inside Microsoft and with external partners. Take ownership & support of logistics for these events and ensure that budgets and activities around this area are managed as effectively as possible.
  • Preparing and reconciling expense reports to ensure timely processing.
  • Assisting with special projects across the tri-lab organization; provide group support as needs arise.

Requirements

  • 3+ years Administrative, Business Support, and/or customer service experience OR 3+ years of high level administrative and project management experience supporting a senior executive AND/OR managing a complex calendar for high volume clientele at executive level, such as Vice President OR equivalent experience.
  • Strong working knowledge of Microsoft Windows, Microsoft Outlook, OneNote, Excel, PowerPoint, SharePoint, and Visio.
  • Excellent organizational, analytical, anticipatory, and communications skills, both written and oral.
  • Aptitude to apply sound judgment and diplomacy in ambiguous and complex situations.
  • Ability to work independently, without significant oversight or instruction to problem-solve.
  • High level of integrity and ability to maintain the confidentiality of highly sensitive material with tact and professionalism.
  • Ability to work successfully in a team environment, including building effective working relationships inside and outside of the group, and accommodating work styles and perspectives of diverse individuals.
  • Demonstrated agility in navigating complexities of large-scale, matrixed organizations, including understanding nuances of corporate culture.
  • Associate's/bachelor's degree in relevant field OR equivalent experience.
  • An intellectual interest and aptitude to develop a solid understanding of an industrial research lab environment within Microsoft.

  • Location: Cambridge, MA (A\available to work onsite at least 50%)
  • Duration: 12 Months
  • Pay Range: $34.50 - 39 per hour
