The Security Marketing team seeks an experienced Executive Business Administrator to support the Vice President of end-to-end Product Marketing and Go-to-Market. The successful candidate can effectively manage a demanding workload under time constraints with a calm, confident and positive attitude, can work independently, deal with ambiguity, and expects to deliver while acting as a representative of the executive they support.

Excellent communications skills; be comfortable with the ability to prioritize effectively, and handle multiple time-critical tasks simultaneously. This role requires complex calendaring skills, operational excellence, and an effective use of data and business systems.

Responsibilities

  • Complex executive calendar management, travel, and strategic time prioritization, executive preparation in advance of internal and external meetings
  • Time-zone prioritized work schedule allowing for periodic evening and weekend calendar checks for changes, as well as remotely supporting the Vice President when traveling
  • End-to-end management of complex domestic and international travel planning, including proactive adjustments to drive efficiencies
  • Partner with Business Management to effectively support organizational cadence including employee engagement opportunities, organizational culture development, Rhythm of the Business (ROB), team morale, leadership meetings, All-Hands meetings, etc
  • Thorough understanding of the team budget, including auditing and completing purchase orders and expenses, completion of executive’s expense reports
  • Oversee execution of full hiring cycle including PCN management, REQ execution and tracking
  • Space management, alias management, processing and approving expense reports; new hire onboarding & procurement of goods and services

Qualifications

Required/Minimum Qualifications

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management
  • Experience with Microsoft productivity software tools including Outlook, all office suite programs, SharePoint, One Note, Teams, etc
  • Experience managing business support, or customer service experience in an environment with an emphasis on managing multiple projects & programs with successful outcomes
  • Experience supporting & collaborating with executive leaders & upper-level management in a fast-paced and complex environment

Preferred Qualifications

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
    • OR equivalent experience
  • 2+ years experience serving as mentor to others
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)
  • Experience with Microsoft productivity software such as Employee Central, MS Expense, My Order, etc
  • Ability to collaborate effectively with partner orgs and teams
  • Proficient cross-team collaboration and organizational skills
  • Planning, organizational, time management and problem-solving skills
  • Ability to react with appropriate urgency to situations and requests
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $27.40 - $46.49 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $37.84 - $52.98 per hour.
