The Health & Life Sciences Platform R&D team is seeking an energetic and organized Senior Business Administrator to support our team in achieving its goal of improving the healthcare experience for both patients and practitioners. Responsibilities

Responsibilities Include

  • Calendar Management: Manage calendaring needs for one or more partner-level execs based on knowledge of their styles and business needs. Thoughtfully address meeting conflicts through delegation and prioritization, while keeping leaders Learn to navigate ambiguous situations to simplify decision-making processes.
  • Team Management Support (Headcount Management, Recruitment, Onboarding/ Offboarding): Collaborate with Global Talent Acquisition (GTA) to facilitate internal and external recruitment efforts, and partner with hiring managers to ensure an effective process. Support intern and university recruitment for the broader organization (e.g., planning, placement). Provide seamless on-boarding experience for new hires. Ensure correct processes are followed when team members exit.
  • Event Coordination: Organize team morale events and support division-wide morale activities. Drive proactive actions and plan logistics to ensure successful event outcomes. Coordinate with stakeholders to plan and execute events and handle post-event tasks such as impact tracking and evolving best practices for later events.
  • Resource Management (Hardware/Supply Management, Purchase/Expense Management Financial Management):Manage equipment needs-assessment, purchase, storage and allocation for the team, staying within organizational budget. Maintain asset inventory and assist in planning for future needs.
  • Space Management: Maintain and manage space-management processes and team spaces (e.g., office locations/desk assignments, private conference rooms) as needed. Coordinate any large-scale space requests (e.g., annual office restacks, space build outs), liaising between admins, leaders, and space planners and advocating for appropriate space for the team.
  • Travel Management:Handle travel arrangements, including accommodation and transportation, for senior leaders and team events. Manage travel expectations to maximize travel productivity. Support filing of expense reports in a timely manner.

Qualifications

Required/Minimum Qualifications

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
  • 1+ years providing direct support for executive/upper-level management leaders
  • 1+ years of experience with Microsoft Office tools (Outlook, Word, Excel)
  • Demonstrated ability to multi-task and prioritize incoming requests and to communicate effectively

Additional Or Preferred Qualifications

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
    • OR equivalent experience.
  • 2+ years experience serving as mentor to others.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $27.40 - $46.49 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $37.84 - $52.98 per hour. Certain roles may be eligible for benefits and other compensation.
