The Real Time Communications (RTC) organization under Intelligent Conversation and Communications Cloud (IC3) is seeking an experienced Business Administrator to provide support to the RTC Executive Office. The ideal candidate is someone who can navigate and change directions quickly within a fast-paced environment and can embrace a challenge head-on with confidence, a calm sense of urgency, and a positive attitude. You must have a professional demeanor and a desire to remove barriers to ensure success. You must be highly detail-oriented, have multi-tasking skills, and practice consistent and timely follow-through. You must have high integrity and be able to handle confidential information appropriately. This role will report to the RTC Chief of Staff.
A successful candidate will have demonstrated work experience in a fast-paced environment, planning, organizational and time management skills, flexibility, ability to work independently and be comfortable operating with ambiguity, multi-tasking, meeting deadlines, changing direction in rapid response to a fluctuating work environment and prioritize among multiple projects with a dynamically changing workload.

Responsibilities
- Proactively managing an L4 manager’s calendar, making decisions on behalf of the manager to prioritize requests based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time.
- Exceptional customer service and onsite team support
- Effectively communicate and build relationships with the business support community and business leadership in M365 Core and IC3
- Assist in M365-Core-wide events, team morale, and team event planning and coordination including invitations, room set up and catering. Assisting with onsite troubleshooting audio-video and technical issues.
- Assist with ad-hoc and routine ROB projects as needed.
- Provide proactive group support, including understanding, tracking, and closely monitoring operating budget expenses and purchase order creation, and on-site logistics (receipt, distribution, etc.).
- New Hire, Intern, and Vendor onboarding/terminations including all iCIMS and Employee Central functions, onsite office setup including computer equipment, space, office supplies, aliases, etc.
- Proactively manage headcount. This includes tracking, submitting requisitions, tracking changes, and partnering with recruiters.
- Space Planning and management - including office moves, site cleanup, keeping space maps updated, managing assigned/flex seating, scheduling PC recycle pick-ups, and coordinating closely with the IC3 space champ to ensure alignment.
- Be the first point-of-contact for all team administrative needs, sharing hybrid building coverage across the administrative team.
- Asset Tracking - Contributing to and overseeing planning, tracking, maintenance, and adjustment of equipment and equipment inventory based on stock requirements and business needs.
Required/Minimum Qualifications
- 2+ years Administrative, Business Support, and/or customer service experience.
- 2+ years of experience with MS products including Outlook, Visio, Word, Excel and/or PowerPoint.
- 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)
- 3+ years Administrative, Business Support, and/or customer service experience
- Associate's/Bachelor's Degree in relevant field (e.g. Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
- Knowledge of corporate organization and culture and ability to navigate it successfully.
- Attention to detail-oriented with problem-solving and troubleshooting skills.
- Cross-team collaboration & organizational skills.
- Ability to be flexible, and work quickly and efficiently.
- Ability to react with appropriate urgency to situations and requests.
- Must be able to maintain confidentiality and always use discretion and judgment.
- Exercise sound judgment, tact, diplomacy, integrity, and professionalism in all communications.
- Knowledge of Microsoft internal tools such as Employee Central & MyOrder.
