Administrative Assistant (Contract)

Job Responsibilities
- Scheduling Meetings internally and externally
- Coordinating with Embassies/Trade Assoc./External Orgs for Visits
- Writing, Editing, Completing Briefing Documents
- Tracking engagement, creating documents, scheduling, and coordinating with govt. and external organizations on large national/international annual conferences to manage Microsoft (mostly CELA, but also external) presence
- Coordinating Monthly Team Syncs, Consultant Syncs, setting up meeting as needed
- Tracking priorities for National Security, Emerging Technologies, IVAS, and Supply Chain Integrity during heavy-impact times
- Upkeep and accessibility/compliance checking the Voices for Innovation website
- Managing Microsoft Researchers' time in DC during various visits to 901 K throughout the year (scheduling meetings, inviting externals, tracking engagement, providing AI summaries, taking meeting notes, etc.)
- Coordinating AI Briefings and Demos with third-party private sector, academic, and govt. adjacent partner organization, including outreach, scheduling, drafting and sending white papers and one-pagers related to their company/organization initiatives and needs, taking meeting notes, follow-up, and maintaining relationships.
- Reception Support: Manage the front desk and greet internal and external guests with a friendly and welcoming attitude. Answer, screen and forward incoming phone calls.
- Conference Room Management: Handle meeting and conference room calendar coordination, including meeting setup and breakdown.
- Business Support: Provide additional administrative support when requested but not limited to reconciling expenses, scheduling meetings, creating spreadsheets and graphs. See attached.
- Support for Events: Assists and works under the direction of the events coordinator in setting up, breaking down and event management to run successful meetings and events. Basic AV knowledge to assist with troubleshooting and assist with AV setup as needed providing instructions and direction to team members, managing the coordination of events.
- 2-3 Years of Experience Required
- Top 3 Hard Skills Required + Years of Experience
- Minimum 2+ years experience with Outlook, Microsoft Teams, OneNote, Excel, Word, and PowerPoint.
- Research experience.
- Experience with executive level support.
- Experience with expenses
- Excellent communication and engagement with VIPs, Government Officials, and Executives
- Ability to work and adapt in a high performing work environment
- Location: Washington, DC
- Duration: 3 months
- Pay Range: $26.50-30.50 per hour
