About the Role

The Operations Center of Excellence (CoE) will be a global organisation with operations experts around the world providing leading capabilities to clients through all IPG Mediabrand’s media agencies.

The Business Operations Manager, will support the delivery, roll-out, and maintenance of local systems and tools, ensuring effective implementation of resource management platforms, data-driven operations, and reporting solutions. Reporting to the Director of Business Operations, they will collaborate across departments to align local solutions with global standards and enhance performance visibility across the UK market.

Key Responsibilities

1. Stakeholder Engagement & Collaboration:

    1. Support relationship building across CoE and UK operational leads.
    2. Coordinate with craft leads to ensure the successful implementation and usage of operational tools.
    3. Promote systems and data-driven change across operational teams to drive continuous improvement.

2. Solution Architecture & Implementation of UK Systems:

    1. Conduct audits and data capture for gaps in local market systems, their processes, management information and reporting capabilities.
    2. Assist with the design and rollout of operational systems and processes tailored to UK market needs.
    3. Support the implementation of global tools such as:
      1. Resource Management Systems (RMS)
      2. CRM/Growth platform
      3. Brief Response Widgets
      4. Media Planning tools
      5. QA and client reporting tools
      6. Monitor system usage and support users with onboarding and adoption.

3. (Local Market) Business & Client Resource Management:

    1. Assist on local market audit of RSM available systems, processes and opportunities and in close alignment with global guidance, standards and blueprints.
    2. Contribute to roadmap to implement the resource management solution and drive its adoption across the UK.

Following RMS implementation:

  1. Coordinate and assist with ELT Resource Management & Flag Reporting process to surface flags around utilization, profitability, client burn rates.
  2. Coordinate and assist with Conflict Management Flag reporting across the UK local market across streams.
  3. Help coordinate business operations resource planning with Legal, Finance, and Client teams.

4.Management Information:

    1. Work with Finance and Analytics teams to support development of dashboards and reports.
    2. Ensure data integrity and assist in delivering performance insights to support decision-making.

5.Team Support & Coordination:

    1. Support the Director in managing project timelines and team deliverables.
    2. Contribute to team culture through shared planning, feedback, and improvement initiatives.

1.Individual KPI’s

    1. 360 team feedback
    2. Delivery against personal projects delivery with individual accountability

2.Shared Resource Management Team KPI’s

    1. Delivery of Projects (Strd, Media Plan, MI roll out, RSM roll out)
    2. Local utilization & capacity
    3. Reduction in conflict incidents
    4. Reduction in client overburn
    5. Resource Allocation Efficiency
    6. Staffing Plan & Open Role fulfillment rate

3.Shared Operational Team KPI’s

    1. New & Current Client Operational Model Success
    2. Operational Tool roll-out and implementation success

About You (Our Successful Candidate)

The successful candidate will be a detail-oriented systems and operations professional who thrives in fast-paced structured environments and is passionate about improving processes. This role requires a strong communicator, a collaborative partner, and someone who can help bridge technical solutions with business needs.

A simplifier who always believe in finding the easier in all that they do and a strong believer in finding the right tools for the right job at the right time. The ideal person will have a growing commercial lens and keen interest to develop understanding of the business, see the need for rapid results and enjoy the challenge of juggling this against system specifications and delivery timelines.

An ambitious operations person with a keen interest in driving change by learning how implement and roll out systems in collaboration with other teams and demonstrate success in 12 months through tools and processes they have contributed to which have quickly supported the business around them.

Joining at a pivotal time of transformation within new MediaBrands Operations Craft roll out and the wider industry, this role is perfect for a seasoned delivery person looking to take a next step up in Operations and grow their skills as a strategic problem solver. They will ideally have some experience in rolling out or supporting Media related systems and tools or previous experience in front line or operational roles as well as experience and understanding of juggling the multiple areas of priority and focus across the business.

Key Skills Required

  • Experience in business operations, systems, or project delivery roles
  • Experience supporting or implementing resource management or operational platforms
  • Familiarity with reporting tools, database structures, or data visualization platforms
  • Strong analytical skills and attention to detail
  • Comfortable engaging with cross-functional teams and communicating process change
  • Proactive problem-solver with a drive to improve systems and user experience
