About the role

We are currently recruiting for a Coordinator, Talent Operations in our downtown Toronto location. This is a remote work role 3 days per week, with 2 days per week in office (Tuesday being the team anchor day).

Position Summary

The Coordinator, Talent Operations is responsible for supporting the operations of the Talent function, which provides consultative talent management guidance across all agencies in the Mediabrands Canada network. This Coordinator role provides hands-on operational support to the Talent team and client groups across the breadth of the employee lifecycle.

The ideal candidate is interested in a generalist coordinator role with an interest in a broad range of HR areas, combined with an energetic personality, a ‘roll up the sleeves and dig in’ mentality, flair for creative solutions, passion for continuous learning, and desire to be a part of our growth as we continue to expand the Talent function in Canada. You’re buttoned down when it comes to organization, but you can easily flex to changing demands and you love a good challenge.

Key Responsibilities

Employee Onboarding

  • Conducts virtual meetings with incoming new hires to provide them with relevant HR information and supports effective onboarding
  • Logistics and shared virtual delivery ofnew hire orientation
  • Acts as liaison between Talent Acquisition and payroll for new hire onboarding and operational support

Employee Communications

  • Acts as talent ambassador to connect our employee base with proper support and resources
  • Monitors HR email mailbox to manage and triage all incoming requests and questions
  • Coordinates content for various employee communication channels – announcements, alerts, employee Intranet, employee handbook/welcome package
  • Draft letters of employment

Employee Benefits & Initiatives

  • Administers Canadian employee benefits plans, and acts as front line support for benefits-related questions or issues
  • Reconciles monthly billing including liaising with the finance team
  • Supports/leads various employee programs, including wellness, training, and recognition
  • Acts as a key committee member, supporting our annual Internship program through strong operational and tactical support

Talent Acquisition

  • Coordinates background checks, and conducts reference checks as required
  • Acts as committee member in coordinating our annual Internship Program including screening, testing, event coordination and materials compilation
  • Reports on various recruitment metrics as needed

Learning & Development

  • Assists with inputting learning & development data into Learning Management System and supporting the Learning calendar/catalog as required
  • Provide support with monitoring sign ups and reporting as required
  • Oversees training such as Code of Conduct

Systems & Analytics

  • Coordinates employee changes in HRIS (Workday), working in conjunction with the Payroll Manager
  • Coordinates the flow of employee data changes and approvals
  • Sends out operations notices regarding new hires and departures
  • Audits bi-monthly payroll entries to ensure accuracy and SOX compliance

Delivers routine and ad hoc talent-related analytics, including turnover, demographic reporting, headcount, and more. Other operational support responsibilities as needed

Desired Skills & Experience

  • Post-secondary degree or diploma in Human Resources Management or similar
  • Strong technical & analytics skills including MS Office a must; ability to use pivot tables, VLOOKUP function and other basic excel formulas
  • Passion for learning and personal growth; stays current with HR trends, best practices, and industry changes
  • Solutions-oriented and desire to bring creative solutions and suggestions forward to the team
  • Proactive, customer-focused, and self-starter mindset
  • Strong organizational skills and ability to manage multiple demands
  • Expert relationship building and communication skills
  • Interest in the advertising/media, and digital/technology industry
  • Pursing CHRP designation preferred
