Senior Manager, Operations and Administration

SCOPE OF ROLE
Reporting to the Vice President of Finance and Operations, the Senior Manager of Operations and Administration serves as a key member of the Shared Services team, supporting the organization’s critical enablement functions. This role focuses on project management and reporting, systems integration, facilities operations, and administrative processes.
The Senior Manager will build relationships across the organization to ensure that teams have the solutions, processes, and administrative support needed for effective collaboration, seamless project implementation, and strong knowledge management. Core responsibilities include managing cross-functional projects and reporting, reviewing contracts, coordinating facilities operations, and overseeing administrative processes. The Senior Manager also provides leadership and direction to the administrative staff and performs other duties as assigned.

EDUCATION
Minimum Bachelor’s degree in Business Administration related field or equivalent experience required, PMO certification a plus.

SALARY RANGE
$92,500 - $97,500 (ANNUALLY)

QUALIFICATIONS
  • Commitment to Financial Health Network’s mission in advancing consumer financial health
  • 5+ years demonstrated managerial capabilities in operations, project management and office/ administration management
  • Proven ability to conduct organizational needs analysis related to infrastructure, technology solutions, and physical environment
  • Experience or demonstrated success with leading organizational change or transformation initiatives; experience with designing and implementing staff training and technology adoption strategies; proven ability to manage vendor relationships and assess performance; strong analytical and operational skills
  • Well-established organizational and project management skills; experience working on, and overseeing, internal projects and projects implemented by third parties
  • Strong team management and development skills
  • Excellent oral and written communication skills to be able to read and comprehend contracts
  • Ability to work in a collaborative manner with project leads across the organization and with external stakeholders/vendors; skilled at exercising influence without direct authority
  • Demonstrated commitment to mission driven organizations.
  • Flexible, team-oriented approach to work
  • Must be available for in office meetings or in-person collaboration time
RESPONSIBILITIES

Project Management
  • Develop strategies for continuous operational and administrative improvement
  • Coordinate across functional areas to support the implementation of new initiatives including change management strategy, training, and gathering/ synthesizing feedback
  • Oversee internal projects and projects that are managed and implemented by third parties; represent the organization’s best interests and ensure on-time, in scope delivery
  • Coordinate with the VP of Finance and Operations and the Manager of Business and Technology Operations to ensure technology and supporting infrastructure are streamlined and integrated
  • Track organizational impact metrics, support quarterly performance reporting, and assist the VP of Finance and Operations with capacity planning and utilization reporting
Administration
  • Manage the administrative assistant and virtual assistant team ensuring they are able to meet the needs of the organization
  • Work with other functional leads to ensure that administrative activities across the organization are performed with the right resources
  • Create and implement strategies for enhancing and streamlining administrative processes; where possible, leverage technology solutions to simplify and expedite administrative activities
  • Ensure that executive leadership is supported at the high level
  • Review of all contractual obligations prior to signature, assessing risk and cross departmental collaboration with accounts and shared services.
Facilities
  • Manage office operations for two locations, including the provision of sufficient administrative support to all offices and senior staff
  • Design and manage a physical environment that is cost effective, efficient, safe, and well-suited for the organization’s needs
  • Keeping a pulse on current laws with regards to compliance with OSHA and ADA and making sure that the office environment is well maintained.
