Role Description
The PMO plays a central role in supporting the smooth execution and success of projects. It provides standardized processes and governance across key areas such as project planning, progress monitoring, risk management, quality assurance, change control, and financial management. Working in close collaboration with project managers and executives, the PMO contributes to maximizing project outcomes and enhancing client satisfaction.
This role is located at Japan Office in Tokyo with the designation of Manager/Sr. Manager.
Responsibilities and Accountabilities
Planning & Controlling
Responsible for leading the creation, ongoing updates, in-depth analysis, and comprehensive reporting of the detailed project plan, including the identification and tracking of associated risks and issues. This may be done independently or in collaboration with a PMO Analyst and may include receiving strategic guidance from a PMO Manager or Engagement Manager. The role requires ensuring alignment of plans with project objectives, deadlines, and resource availability, and supporting the project team in maintaining realistic and achievable timelines.
RAIDO Management (Risk – Action – Issue – Decision – Opportunity)
Establishing and maintaining the RAIDO management framework, including the implementation of effective processes, utilization of appropriate tools, and defining a consistent reporting cadence. This responsibility may be carried out independently or with support from a PMO Analyst and/or under the strategic oversight of a PMO Manager or Engagement Manager. The role involves actively monitoring and facilitating the resolution of risks and issues, capturing key decisions, and identifying opportunities that may add value or mitigate threats to the project.
Change Request Management
Owns end-to-end responsibility for the setup, execution, and governance of change request management, including the design of processes, selection of tools, and scheduling of regular reporting cycles. This role may be executed independently or in collaboration with a PMO Analyst and/or under the supervision of a PMO Manager or Engagement Manager. Key duties include ensuring all change requests are properly documented, impact-assessed, approved by the appropriate stakeholders, and clearly communicated to all relevant parties.
Quality Management
Driving and overseeing the design and implementation of quality management processes for RAIDO and related areas, including the establishment of effective tools, QA checkpoints, and regular reporting cadences. The role works closely with a PMO Analyst and/or PMO Lead to manage the operational details, while also providing quality assurance oversight to identify potential gaps, promote consistency across deliverables, and support timely resolution of quality-related issues. This includes maintaining alignment with project standards and ensuring continuous improvement.
Finance Management
Takes ownership of routine financial operations, including the weekly review and approval of timesheets and expense claims, as well as the monthly collection, publishing, updating, analysis, and reporting of financial actuals and forecasts against established budgets. This may be performed independently or with the assistance of a PMO Analyst, and/or under the guidance of a PMO Manager or Engagement Manager. A key aspect of this responsibility is providing accurate and timely financial data to support informed decision-making and ensure overall project financial health.
